An AI receptionist for a UK small business: what it can do and what it should never decide

An AI receptionist answers your business line itself, using rules you set, and passes anything that needs judgement to a person. Ours runs 24/7 on a UK number, asks the caller the questions you have chosen, qualifies the enquiry, can work out an approximate price and book a slot, then sends the details to your CRM, your calendar and a notification to your team. It should never invent a price, promise an arrival time, or give advice it is not qualified to give.

Updated September 2026. Product details on this page come from the plans, the integration list and the live demo line. We have no client case studies, so none are quoted here.

What it does on the phone

The agent answers. That sounds trivial and it is the main point: no voicemail, and no caller ringing your competitor because you were up a ladder.

It collects what you decided to collect: name, number, address, what the job is, when the caller needs it. The questions come from your flow rather than a generic script, and it checks the rules you set for the job type. Where you have approved a pricing rule it can give an approximate price, and where a slot exists it books into your calendar.

Then it does the part people underestimate. The lead goes into HubSpot or Salesforce if you use them, into your calendar, and into a Telegram message to whoever handles the work. The call ends with a record, not with a note in someone's head.

Out of hours it behaves the same way as at 10am on a Tuesday, because the line runs 24/7.

What it should never decide

This is the list to hold any provider to, including us:

  • A price it has not been given. An approximate figure from your approved rules is fine. A confident number out of thin air is not.
  • Availability it cannot see. If the diary cannot confirm the slot, the agent takes a request and says so.
  • Clinical, legal, tax or financial advice. A dental enquiry is admin, not triage. A contract question goes to the person who can answer it.
  • Whether someone is eligible for anything, including credit or emergency work.
  • Anything that needs a person's judgement. Emergency call-outs, complaints, vulnerable callers, and anything that sounds like a safeguarding issue go to a human, and the flow should say that plainly.
  • Whether it is human. Where a caller asks, the agent should be honest about what it is.

The same assistant off the phone

Calls are the visible part. The same assistant can cover the week:

  • Customer and support: chat on the website around the clock, replies from your own knowledge base, WhatsApp messages and reminders, ticket triage for a busy inbox, escalation to a person when the tone turns bad.
  • Sales and marketing: qualifying and scoring enquiries, drafting the follow-up nobody has time to send, keeping the CRM record straight, abandoned basket reminders.
  • Admin and documents: paperwork read and sorted, data moved between tools, meeting notes written up, contract templates filled and sent for signature, documents filed where you will find them.
  • Scheduling: bookings, reminders, rescheduling and capacity checks against the week you actually have.
  • Finance: invoice chasing on a schedule, bank line reconciliation, VAT records in Xero, expenses in QuickBooks, payment links and payment webhooks through Square.
  • Online shops: order status, returns and refunds, stock and price questions.

The integrations on the site are HubSpot, Salesforce, Square, Google Sheets, Notion, Airtable, Calendly, Gmail, Slack, Telegram and n8n. Where your system is not on that list, there is an API route, and the build takes longer. The full picture is on the

What it costs

Starter is £129 a month for one voice or chat assistant, up to five integrations, a UK number and onboarding. Professional Suite is £299 a month for up to five assistants, unlimited workflows and a priority SLA. Onboarding is normally two to five working days.

Two safeguards are built in, and they cover the first things a cautious buyer asks about. The assistant has a default spend cap of £5 per day, so a runaway loop cannot turn into a runaway bill. And where a step needs a person, a person keeps it.

How to test it without a sales call

Call [ +44 20 4577 1226 ](tel:+442045771226) . You will speak to the live agent on our own line, which is the same product you would get. Ask it something awkward and see what it does with a question it cannot answer.

Hear it before you decide

The demo is a phone call, not a video. Dial it, ask it something hard, then decide.

FAQ

**Do I need to change my number?**

No. Plans include a UK number, and we look at your existing line during onboarding.

**Does it work for a one-person business?**

Yes. A one-person business is usually where the missed call hurts most, because there is nobody else to pick it up.

**What if the caller has a strong accent, or rings from a noisy site?**

Voice agents handle ordinary UK calls well and struggle with genuinely poor audio. The flow should hand awkward calls to a person rather than guess, which is why the handover rules matter more than the demo.

**Can it answer in more than one language?**

Yes, one assistant can hold more than one language. Tell us the languages you need during onboarding.

**Is my customer data safe?**

We work to UK GDPR requirements, with PII masking, a spend cap and a human in the loop on the steps that matter. The DPA and the subprocessor list are on the site.

**How long until it is live?**

Two to five working days for onboarding.
